Setting up your client brief process

Winning a contract and receiving assignments from a client is fantastic news for any creative agency, it does however mean that you have accepted a challenge to create something amazing on time and up to the customer’s high standards.

With the right setup in Favro, a client brief seamlessly moves from your inbox all the way to delivery faster, and more reliably, without compromising quality. You can boost your efficiency by using a few of our nifty apps and integrations, such as:

  • Email to board/backlog — turn incoming emails from clients into actionable cards

  • Google Drive integration — add content to your card when it’s ready for review

  • Default values — automatically assign resources for work and review

  • Defined workflow — keep control of your approval process

Below are a few examples on how this would all work.

Receiving the brief

There’s a new message in your inbox, it’s an assignment from one of your clients. Using the email to board/backlog integration, you can give your backlogs and boards unique email addresses. Forwarding the message above to one of these addresses would then create a card in said backlog or board.

You can now add additional details right in the description or in a comment. You can also add tags for reporting purposes and assign it a due date to clearly communicate when this needs to be done.

Empower your team to manage their own workload

Your brief is ready and the team can start working on it. A team member that has the capacity to take on more work, just drags the ready brief onto his/her team’s progress board.

By adding members to the card, there is now clear ownership of the assignment. The team member can now break down the assignment into tasks as needed.

The team member starts working on the assignment, checking off tasks and adding comments where necessary. He then uses the Google Drive integration to add the worked on piece to the card for review, keeping all information right in the card.

The board is now an excellent visualization of the workload, allowing teams to manage their own work much more efficiently.

Automate and set rules for reviews

Our card is ready to move to the review column. It’s common to have one (or more) people in charge of reviews and approvals. By using the default values app, the right person always stays on top of reviews. You can also use this feature to automatically tag cards depending on what stage in the process they are, making sure they always have the correct meta data for reports and search queries.

We also want to make sure that the person in charge of reviews is the only one who can approve a piece of work and move it to the done column. This is easily set up using defined workflows.

And there you have it! With this simple setup, your teams can keep better track of their work and get to done more efficiently, all while keeping the quality up to the highest of standards.
